Human Resources Assistant Temporary Full-Time (18 months)
Working as an integral member of the Human Resources team, the Human Resources Assistant will provide general administrative and support while contributing to the efficient and professional delivery of HR programs, processes and services across the Hospital.
Responsibilities:
- Provides administrative support to the Human Resources Team that includes the scheduling and confirmation of appointments, meetings and special events, prepare and organize a variety of documents and correspondence in an accurate and professional format.
- Maintains an orderly condition of files of confidential documents and correspondence that includes employee files, electronic record management systems, and ensures review of meeting records, manuals, polices, and procedures.
- Acts as recording secretary for various Hospital committees. This includes preparing notices and agenda of assigned committees, maintaining organized and accurate record of original minutes and support for adequate meeting follow-up of actions and deliverables.
- Ensures professional licensing and certification renewals for employees are up-to-date.
- Prepares and conducts Hospital-wide corporate orientation and provides onboarding support to new hires/students and managers. Maintain orientation-related information with Surge Learning System, ensuring education is up-to-date.
- Responsible for the recruitment, interview process, and orientation of volunteers for the Volunteer Program. Acts as a liaison for the Auxiliary.
- Assists in the recruitment process by screening applicants, scheduling interviews, preparing packages, and completing reference checks.
- Assists in the execution of the probation/performance management program.
- Coordinates employee morale/engagement initiatives and activities.
- Monitors and administers the Attendance Awareness program on a monthly basis. This includes running reports, updating spreadsheet, and creating attendance awareness letters.
- Updates and distributes internal phone extension and Vocera list.
- Runs data reports using MEDITECH, UKG, and SALTO as requested.
- Assists with additional administrative responsibilities such as filing, room bookings, fielding calls, photocopying/printing, laminating, etc.
- Participates in quality initiatives, risk management programs and in-service education as appropriate.
- Keep up-to-date with current hospital programs, risk management, WHMIS and emergency plans.
- Contribute to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and visitors.
Mandatory Requirements:
- Completion of a Business Administration or Human Resources Degree or Diploma/Certificate program or equivalent combination of education and relevant experience.
- Ability to maintain confidentiality and professionalism at all times.
- Demonstrated understanding of employment legislation and collective agreements.
- Intermediate proficiency of microcomputer applications-Microsoft Office (e.g. Word, Outlook, Excel, PowerPoint).
- Proven commitment to ensuring excellent attendance and demonstrating the Hospital’s values at all times.
- Able to take initiative and work in a fast-paced environment.
- Excellent written and verbal communication, and interpersonal skills needed; as well as strong attention to detail.
- Demonstrated excellent time management, and organizational skills with the ability to prioritize to be able to successfully manage tight deadlines.
- Committed to working and promoting safety in the organization.
Assets:
- CHRP/CHRL designation considered an asset.
- Previous experience working in a unionized environment, preferably in a hospital environment.
- Previous experience with Survey Monkey and Canva applications.
- Oral proficiency in French at an advanced or superior level.
Rate of Pay: $28.97 – $34.96/hour
Hours of Work: 8:00 am-4:00 pm, Monday – Friday, 37.5 hours a week.
